The problem
Front desk drowning in calls and emails. Invoicing eating up 3 days a week. Mike had been pitched five different 'AI for plumbers' tools and had no idea which (if any) were worth the money.
What we did
- 01Two-week audit: shadowed the front desk, mapped the invoicing flow, traced where the time was actually going.
- 02Honest verdict: most of the AI plumbing tools we'd been pitched were overkill. Gmail's built-in AI could handle 80% of the email triage. The other 20% was a custom Zapier flow connecting their dispatch software to QuickBooks.
- 03Trained the front desk and the office manager. Built and tested the invoice automation. Ran 90 days of follow-up.
