The problem

What we did

  1. 01Two-week audit: shadowed the front desk, mapped the invoicing flow, traced where the time was actually going.
  2. 02Honest verdict: most of the AI plumbing tools we'd been pitched were overkill. Gmail's built-in AI could handle 80% of the email triage. The other 20% was a custom Zapier flow connecting their dispatch software to QuickBooks.
  3. 03Trained the front desk and the office manager. Built and tested the invoice automation. Ran 90 days of follow-up.
